"Where Is My Order?" messages happen because customers didn't know what they needed to know. Well-timed updates can reduce support queries and improve delivery success.

Most "where is my order?" messages are not complaints. They are anticipation - a customer who paid three days ago, has heard nothing since, and has no way to find out. Every one of those messages costs someone on your team two minutes and a tab switch. The fix is not a faster support inbox. It is sending the information before the question forms.
Five Milestones Worth a Message
Every shipment scan is not a customer event. Send on five, and stay quiet in between.
1. Order confirmed. Item, quantity, amount, payment mode, and the delivery date you calculated. For a COD order, ask for a one-word confirmation.
2. Dispatched. The parcel exists and has left. Include the tracking link and repeat the expected date.
3. Out for delivery. Today, roughly when, the exact amount to keep ready if COD, and a note that the executive may call from an unfamiliar number.
4. Delivered. Confirmation with the item name, so a family member receiving it does not create a mystery, plus how to raise a return and by when.
5. Attempt not completed. Sent within the hour, with two options: reattempt tomorrow, or a different address in the same city.
The third message is the one that changes outcomes. A customer who knows the parcel is arriving today, and how much cash to have ready, is far easier to deliver to than one surprised at the door. Proactive communication is not only a service gesture; it is one of the cheapest ways to lift first-attempt success.
WhatsApp or SMS: Choose Deliberately
In India, WhatsApp is where your customer already is, and it is the default for post-purchase updates for good reasons: the message is read on the device, links open cleanly, and the customer can reply.
That reply is the whole point, and it is also the commitment. If you send WhatsApp updates, somebody has to own the inbox during working hours. Customers will answer your out-for-delivery message with "can you deliver after 6", and an unanswered thread is worse than no thread.
The practicalities to plan for:
● Opt-in and templates. Business messaging on WhatsApp runs on approved templates and requires the customer to opt in. Put a clear opt-in line at checkout rather than burying it, and get your five templates approved before peak season, not during it.
● SMS still has a job. Transactional SMS in India runs on DLT-registered headers and templates, which takes a few days to set up. Keep it as the fallback for numbers not on WhatsApp, and for the delivery OTP and payment messages that must land regardless.
● Email is for records. The invoice, the warranty, the return policy. Nobody is checking email for a delivery update.
● Language. Send in the language the customer bought in. For tier-2 and tier-3 destinations, short sentences and Hindi or the regional language will get read where a long English paragraph will not.
Write the Message that Answers the Next Question
"Your order has been shipped" answers nothing. The customer immediately wants to know what shipped, when it lands, and what they should do.
Every update should carry five things: what the item is, what the date is, what the amount is if money changes hands, one action, and who is speaking. A customer who cannot tell which brand sent a message will not act on it.
A workable out-for-delivery template:
"Hi Rahul. Your order from [brand] - 1 pair running shoes, size 9 - is out for delivery today. Keep Rs. 2,299 cash ready. The delivery executive may call from a number you do not recognise. Track: [link]. Reply HELP if today does not work."
Two rules that matter more than tone. Never send an update that requires the customer to go and look something up. And never send a link that leads anywhere except your own tracking page or the official tracking page - Indian buyers are used to fake delivery messages, and an unfamiliar short link teaches them to distrust yours.
The Tracking Page Belongs to You
The default behaviour after any update is that the customer taps the link. What loads next should look like your brand, not like a system.
A branded tracking page should show the product image and order number, the current status in plain language, the expected date, and a support contact that reaches a person. Once it exists, most tracking questions end there. 1. Write the five templates. Put the item name, the date and the amount into every one of them.

4. Add the exact COD amount to the out-for-delivery message, then compare first-attempt success for the next two weeks against the two before.
5. Log the reason for every incoming status question for one week. Whichever milestone generates the most questions is the message you rewrite first.
